Terms (Procurement)

Framework Conditions / Exclusions

  • Venue network/signal access and stability required. Alternative setups are scoped separately.

  • Platform/embed per scope (e.g., YouTube/Vimeo/LinkedIn/website).

  • Travel / overtime / extra edits billed separately (approval required).

  • Graphics/lower thirds/branding overlays only if included in scope or as an add-on.

  • Additional cameras, extra stages/rooms or parallel streams require custom scope.

Requirements (Client Inputs)

  • On-site point of contact (able to approve decisions)

  • Access/accreditation/stage access

  • Run-of-show/agenda + speaker list (if available)

  • Brand references (optional)

  • Platform/embed decision (if streaming is in scope)

Rights & Approval

  • Usage rights for marketing and internal communication (within agreed scope)

  • Interview approvals follow the client’s process (defined in advance)

  • Speaker approvals/releases: via client process or as agreed

What if the venue network/signal isn’t stable? Without stable venue prerequisites, streaming may be limited. An alternative setup is defined in scope or offered separately.

Can the stream be embedded on our platform? Yes — platform/embed is defined in scope (website/YouTube/Vimeo/LinkedIn, etc.).

How do hourly drops work? They follow a pre-defined approval logic (e.g., producer approval on-site or client sign-off via the on-site contact).

Can we add extra exports/language versions? Yes — additional formats, language versions or variants can be booked as add-ons.

What happens if venue/access causes delays? Delays shift capture/wrap accordingly. SLA starts at final wrap/ingest.

Can we extend the on-site time? Yes — extensions are billed as overtime (approval required).
